Maintenance
- Maintenance module is developed to follow up the sold instruments that have warranty and the follow up the maintenance contracts
- By the step of delivery note with which the device is delivered to the customer an entry is recorded with the sold device or instrument. In case it has warranty ? in the table of sold instruments to be followed up
- With each item, a specific number of (urgent-scheduled-paid ) visits is saved and given initially to the warranty or contract period of the device
- On a customer call a complaint is taken, and the call receiver makes sure that device is registered to have warranty or a contract
- An engineer is assigned to this call (initially)
- A visit is paid to the customer site to qualify or identify the problem
- After identifying the problem the engineer estimates the cost (if its paid visit) if the customer agrees then the quotation is transferred to a customer order (customer repair order )
- During the visit some services can be applied like
- waiting hours
- traveling hours
- real working hours
The program allows the ability to define any number of maintenance services with their cost
- A visit can result in:
- Solving the problem
- Pending (waiting) for customer approval for changing some spare parts
- Waiting for a higher level of technicality
The program allows the ability to define any number of maintenance visits results
- In some cases the device needs to be maintained at vendor site ? so such customer orders (customer repair orders) are grouped and shipped to the vendor in a (vendor repair order)
- Using the action of inventory system (but in this case applied to the warehouses of maintenance) the received device from vendor after maintenance is delivered to the customer)
- Substituting the device ?Replace:
- In case the device is in warranty period, sometimes the device that is no functioning is replaces by a new one. in such case a new serial number is given
- So the contract or warranty is divided into two contracts or warranties, the new one is for the new serial with the residual number of scheduled and urgent visits allowed for the warranty or the contract
- The customer pays the cost of maintenance service and spare parts but the invoice of the customer is stored with sales invoices also in order to generate are customer statement report. Only marked (flagged) as maintenance invoice
- The prices given to the customer in the quotation estimated by the engineer
- These prices are the details of the vendor invoice
- The invoice is also stored with purchase invoices of the vendor for the same previous reason
